This Privacy Policy describes how Speakyboo, LLC ("Speakyboo," "we," "us," or "our") collects, uses, stores, and shares information about you when you access or use the Speakyboo platform, website at speakyboo.com, mobile applications, APIs, and all related services (collectively, the "Service"). By using the Service, you agree to the collection and use of information in accordance with this Privacy Policy.

1. Information We Collect
1.1 Account Information
When you register for an account, we collect your email address and any profile information you choose to provide. If you subscribe to a paid plan, billing and payment information is collected and processed by our payment processor on our behalf — we do not store full payment card details on our systems.
1.2 Audio Data
When you use the dictation feature, your voice is captured by your device's microphone and transmitted securely over an encrypted connection to our transcription processing pipeline. This audio stream is processed in real time or near-real time to generate a text transcript. Raw audio data is not permanently stored on our servers after the transcription is complete. Audio is transmitted, processed, and then discarded. We do not retain audio recordings, create audio databases, or use your voice for biometric identification.
1.3 Transcript Data
The text output generated from your audio — including both the raw transcript and any AI-polished versions — is stored in your account in our database. You can access, edit, export, and delete your transcripts at any time through your account. Transcript data is retained as described in Section 7 of this Privacy Policy and our separate Data Retention Policy.
1.4 Usage and Technical Data
We automatically collect certain technical information about how you use the Service, including:
- Log data such as your IP address, browser type and version, operating system, referring URLs, pages visited, and timestamps of access;
- Device information including device type, screen resolution, and hardware identifiers where applicable;
- Feature usage data such as which Service features you use, session duration, and transcription activity metrics;
- Error and diagnostic reports when the Service encounters problems.
This data is used to operate, maintain, troubleshoot, and improve the Service. It is not sold to third parties.
1.5 Communications
When you contact our support team or communicate with us by email, we retain records of those communications to help resolve your inquiries and improve our support quality.
2. How We Use Your Information
We use the information we collect for the following purposes:
- Service delivery: To process your audio, generate transcriptions, apply AI formatting, store your transcripts, and deliver the features of your subscription plan;
- Account management: To authenticate your identity, manage your subscription, send billing-related communications, and provide customer support;
- Service improvement: To analyze aggregate and anonymized usage patterns to improve accuracy, performance, and feature design. We do not use individual transcript content to train AI models without your explicit, separate consent;
- Communications: To send you transactional emails (receipts, account alerts, password resets) via our email provider. We may also send product updates and announcements; you may opt out of marketing communications at any time;
- Security and fraud prevention: To detect, investigate, and prevent fraudulent transactions, unauthorized access, and other illegal or prohibited activities;
- Legal compliance: To comply with applicable laws, regulations, legal processes, and lawful requests from government authorities.
3. Audio Data Handling in Detail
Given the sensitive nature of voice data, we want to be especially clear about how audio is handled. When you click record in the Speakyboo interface, your microphone audio is captured by your browser or application and streamed securely to our servers. This audio is passed to our AI transcription processing pipeline, which uses the Google Gemini API to convert speech to text and apply language refinements.
Google's processing of your audio through the Gemini API is governed by Google's own terms and privacy policies, including their API data usage terms which restrict Google from using your data to improve Google's general products without your permission. After the transcription is complete and the resulting text is delivered to your account, the raw audio data is discarded and not retained. We do not build a repository of your voice recordings. We do not perform voice identification or biometric analysis. We do not share your raw audio with any third parties other than as necessary for the transcription processing described above.
4. Data Storage and Security
Your account information and transcript data are stored in Cloudflare D1, a globally distributed SQLite-based database. Data is encrypted at rest and in transit. Our infrastructure is hosted on Cloudflare's edge network, which provides additional layers of DDoS protection, network security, and availability redundancy.
We implement technical and organizational security measures designed to protect your information from unauthorized access, alteration, disclosure, or destruction. These measures include encrypted data transmission (TLS), encrypted storage, access controls, and regular security review. No method of electronic transmission or storage is 100% secure, and we cannot guarantee absolute security.
If a data breach occurs that affects your personal information, we will notify you in accordance with applicable law, including within 72 hours to EU data protection authorities where required under GDPR.
5. Third-Party Services
We use the following categories of third-party service providers to operate the Service. Each has access to limited personal information necessary for their function:
- Payment processing: We use a third-party payment processor to handle subscription billing and transactions. Your payment information is transmitted directly to and processed by the payment processor. We do not receive or store full credit card numbers. The payment processor's privacy practices govern how your payment data is handled;
- Transactional email: We use Postmark to send system emails such as account confirmations, password resets, billing receipts, and important account notifications. Postmark receives your email address for the purpose of sending these messages;
- Cloud infrastructure: The Service runs on Cloudflare's infrastructure, including Cloudflare Workers (serverless compute), Cloudflare D1 (database), and Cloudflare R2 (object storage). Cloudflare processes data as a data processor on our behalf and is bound by data processing agreements;
- AI transcription: Google Gemini API is used for speech recognition and language processing as described in Section 3 of this Privacy Policy.
We do not sell your personal information to any third party. We do not share your transcript content with advertisers or data brokers.
6. Cookies and Tracking
Speakyboo uses a minimal cookie approach. We use strictly necessary session cookies to maintain your authenticated state while you are logged in. These session cookies are essential for the Service to function and cannot be disabled if you wish to use the Service.
We do not use third-party advertising cookies, cross-site tracking pixels, or behavioral profiling technologies. We do not participate in ad retargeting networks. We do not use cookies to build advertising profiles about our users.
If we add any analytics tools in the future that set additional cookies, we will update this policy and provide appropriate notice and consent mechanisms where required.
7. Data Retention
We retain your personal information and transcript data for as long as your account is active and for a reasonable period thereafter to allow account recovery, resolve disputes, and fulfill legal obligations. Specific retention periods are as follows:
- Audio data: Not retained after transcription completion;
- Transcript data: Retained for the duration of your active subscription plus 30 days following account closure, unless you request earlier deletion;
- Account information: Retained for the life of your account and up to 90 days following permanent deletion request to allow for recovery and to meet fraud prevention obligations;
- Billing records: Retained for 7 years as required for financial compliance;
- Usage logs: Retained for up to 12 months in identifiable form, then aggregated or deleted;
- Support communications: Retained for up to 3 years.
8. Your Rights and Choices
Regardless of where you are located, you have the following rights with respect to your personal data held by Speakyboo:
- Access: You may request a copy of the personal data we hold about you;
- Correction: You may request that we correct inaccurate or incomplete personal data;
- Deletion: You may request deletion of your account and associated personal data. Note that some data may be retained as required by law or legitimate business interests as described above;
- Export: You may export your transcript data at any time through your account settings in supported formats;
- Opt-out of marketing: You may unsubscribe from non-essential marketing communications at any time using the unsubscribe link in emails or by contacting us.
To exercise any of these rights, contact us at privacy@speakyboo.com. We will respond to verified requests within 30 days. We may need to verify your identity before processing your request.
9. Children's Privacy
The Service is not directed to children under the age of 13. We do not knowingly collect personal information from children under 13. If you are a parent or guardian and believe your child has provided us with personal information without your consent, please contact us immediately at privacy@speakyboo.com. If we become aware that we have collected personal data from a child under 13 without parental consent, we will take steps to delete that information promptly.
10. California Privacy Rights (CCPA/CPRA)
If you are a California resident, the California Consumer Privacy Act (CCPA) and California Privacy Rights Act (CPRA) provide you with additional rights regarding your personal information. These rights include:
- The right to know what categories and specific pieces of personal information we have collected about you;
- The right to know whether your personal information has been sold or disclosed and to whom;
- The right to opt out of the sale of your personal information. Note: Speakyboo does not sell personal information;
- The right to deletion of your personal information, subject to certain exceptions;
- The right to non-discrimination for exercising your privacy rights;
- The right to correct inaccurate personal information;
- The right to limit the use of sensitive personal information.
Categories of personal information we collect include: identifiers (name, email, IP address), commercial information (subscription history), internet activity information (usage logs), and audio data processed in real-time (not retained). 11. Rights for EU, EEA, and UK Users (GDPR)
If you are located in the European Union, European Economic Area, or United Kingdom, the General Data Protection Regulation (GDPR) and UK GDPR apply to our processing of your personal data. Our legal bases for processing your personal data include:
- Contract performance: Processing necessary to provide the Service you have contracted for;
- Legitimate interests: Processing for fraud prevention, security, and Service improvement, balanced against your privacy rights;
- Legal obligation: Processing required by applicable law;
- Consent: Where required and where you have given specific consent.
In addition to the rights described in Section 8, EU/EEA/UK users have the right to restrict processing, object to processing based on legitimate interests, and the right to data portability. You also have the right to lodge a complaint with your local supervisory authority. Our data transfers to third parties outside the EEA are conducted pursuant to appropriate safeguards, including Standard Contractual Clauses where required.
12. Changes to This Policy
We may update this Privacy Policy from time to time. When we make material changes, we will update the "Last updated" date at the top of this page and notify you by email or through a notice in the Service. We encourage you to review this Privacy Policy periodically. Your continued use of the Service after the effective date of the revised policy constitutes your acceptance of the changes.
